How to write a lease violation warning letter with AI

An AI assistant is good at turning your notes into a clear, calm letter that names the lease clause, the dates and what the tenant must do. It is not good at knowing your state's cure period or delivery rules. Draft with AI, fill the legal deadline from your state's statute, read it yourself and deliver it by the method your lease and state allow.

A warning letter is not always a legal notice

A friendly warning is a courtesy letter. A legal notice to cure starts a clock that your state defines. Mixing them up is the main risk. If you may later need to end the lease, the notice must follow your state's form and timing, and a casual warning may not count. When in doubt, send the formal version and keep the friendly one as a first step only where your state does not require a notice first.

For what a notice must contain, see what a notice to cure must say. State rules differ, so always check yours.

One state as an example: Arizona

Under Arizona law (A.R.S. 33-1368), for a material noncompliance with the rental agreement the landlord gives written notice describing the breach. The agreement terminates no sooner than 10 days after the tenant receives the notice unless the tenant fixes the breach within those 10 days. For noncompliance that materially affects health and safety, the period is 5 days. The statute says all deadlines are calendar days. Some serious breaches, such as those involving violence, illegal weapons or drug manufacturing or sale, allow immediate termination notice.

That is Arizona only. Other states use different numbers, different forms and different delivery rules. An AI that has not been given your statute will give you a plausible number that may be wrong, so the days in your letter should come from the statute, not from the model. A deeper Arizona walk-through is in the 5-day and 10-day notice guide.

Gather the facts before you prompt

  • The lease clause that was broken, copied word for word.
  • What happened, with dates and times, as facts you can show (photos, messages, a neighbor's written complaint).
  • Any earlier warnings and how the tenant responded.
  • What you want the tenant to do and by when.

Leave out opinions and labels. "The tenant is irresponsible" is not a fact. "The lease says no pets. On March 3 and March 9 a dog was seen on the balcony, see photos" is.

A prompt that produces a usable draft

"Draft a calm, factual lease violation letter. Clause: [paste clause]. Facts: [dates and what happened]. Required fix: [what and by when]. Leave the deadline and the delivery method as clearly marked blanks, because they come from state law. Do not threaten eviction or mention fees. Do not guess the tenant's reasons. Keep it under 200 words."

Example a made-up letter says, "Our lease, section 9, says no pets without written permission. On March 3 and March 9 a dog was seen on the balcony of unit 2C. Please remove the dog or request written permission by [DATE FROM STATE LAW]." You fill the date from the statute and review the clause number against the lease.

Check three things: the clause quote matches the lease, the dates match your evidence and every blank is filled from the statute or your lease, not from the assistant.

Deliver it the right way and keep proof

Many states require a specific method, such as personal delivery, posting or mail, and some count extra days for mail. Use the method your lease and state allow, write down the date and time, keep a copy and keep photos of posting. A notice that was delivered the wrong way can restart the clock. Delivery is yours to do; do not let an assistant send a legal notice on its own.

How DoorKeeping handles it

DoorKeeping can draft a late-rent notice for a lease in the property's state form, but it saves it only as a draft; the owner reads it on doorkeeping.com and taps to deliver it. For other violation letters, your connected assistant can draft the wording and show it to you, and a message to one tenant is sent only after you confirm. Rent stays in your own bank account, and anything involving money or a legal step waits for your approval. DoorKeeping gives no legal advice, so check your state's statute for the deadline.

Questions

Can ChatGPT tell me how many days to give?
It may guess, and the guess can be wrong. Take the cure period from your state's statute. For example Arizona's is 10 days for most material breaches and 5 for health and safety.
Is a warning letter enough to evict?
Not necessarily. Many states require a formal notice with a set form and time. A friendly warning may not count.
Should the letter mention eviction?
Only if your state's notice requires the consequence to be stated. Keep other threats out.
Can the AI send the notice for me?
You should deliver a legal notice yourself in the way your lease and state allow, and keep proof.
