01

Who we are

DoorKeeping is made and run by DoorRaise, Inc. (“DoorRaise”, “we”, “us”). It lives at doorkeeping.com, and AI apps connect to it at https://doorkeeping.com/mcp. Write to us at support@doorkeeping.com.

02

What we collect

Your account: your email address, when you signed in, and your role in each organization (owner, staff, tenant, helper, or a team role the owner gave you: partner, admin, accountant, lawyer, viewer, maintenance or property owner). If you add a passkey, our sign-in provider stores its public key, its ID and the device name it was added from. It never stores a password or any fingerprint or face data; those stay on your device.

Your portfolio: what you or your team add to DoorKeeping, such as your organizations and the companies that own your properties (name, type, state and only the last 4 digits of an EIN), properties, buildings and units, leases (dates, rent, deposit), bank accounts (name and the last 4 digits; for the checking and savings accounts you connect with Plaid, the full account and routing number, with the account number encrypted. Tenants are shown only the one account you choose), and your books (accounts and journal entries).

Rent payment details: so your tenants can pay you directly, you connect your bank with Plaid, which reads the account and routing number of each checking and savings account in that bank login, and you choose the one account your tenants pay into. DoorKeeping shows only that account’s details, and only to tenants with an active lease on a property of that company. Every time a tenant views them, and every change to them, is logged, and a change is shown to your tenants for 30 days. DoorKeeping never holds your money and sends a payment only when you approve it.

Bank transactions: the date, amount, description and the other party’s name of each transaction on the bank account you connect, read only.

Your tenants: the names, email addresses and phone numbers of tenants you add, and the leases they are on.

What AI apps ask for: when you connect Claude or ChatGPT, DoorKeeping receives only the tool calls that app sends (for example “show the rent roll for this month”, with its filters) and sends back only the answer to that call.

Connection records: the AI app’s name and its return address, which portfolio you allowed it to read, and when each connection was made, last used, renewed and ended. We store only scrambled versions (hashes) of each connection’s codes and tokens, never the codes or tokens themselves.

The audit log: every approval decision and every action an AI app takes, with who did it (the owner, staff, the agent, an AI app or the system), when, the tool used and what it was asked, and the result.

Server logs: our hosting keeps basic request logs (such as the address requested, the time, your network address and errors), so we can find problems and stop abuse.

Product use: which pages you open (with any record number removed) and which steps you finish, such as signing up, adding a property, connecting a bank, matching a rent payment, deciding an approval or connecting your AI app, with counts such as how many units or accounts. It is tied to a random ID that Mixpanel stores in your browser and, once you sign in, to a scrambled version (a hash) of your portfolio ID. It holds no name, email, network address, amount or tenant data.

03

What we never read

DoorKeeping never reads your chat history with Claude or ChatGPT. It does not see your conversations, your other connectors or anything else in your AI app. It only receives the tool calls the AI app sends to the DoorKeeping connector, and only while you keep it connected.

04

Why we use it

To run DoorKeeping for you: to sign you in, show your portfolio, answer your AI app’s questions about it, keep your approvals queue, keep your books, keep a record of who did what, and keep the service secure. We also use it to answer you when you write to us and to meet legal obligations.

We don’t sell your personal information or your tenants’, and we don’t use it for advertising.

05

Rent Report (anonymous statistics)

Each month DoorKeeping may publish anonymous rent statistics computed from many owners’ data together, such as the share of rent paid on time, partial payments, late fees and notices, by state, building size and voucher or market rate. A figure is published only when at least 30 owners and 500 leases are behind it. No figure names or describes one owner, one building or one tenant.

These statistics are never used to set or suggest anyone’s rent.

An owner can leave their portfolio out at any time in Settings, Rent Report. A portfolio that is left out is not counted in any later edition.

06

Your tenants’ data

You add your tenants’ details as their landlord, and you decide what to add. DoorKeeping holds and uses that data for you, on your instructions, to run your properties. You are responsible for having the right to add it and for telling your tenants how you use it, as the law where your property is requires.

When you connect an AI app, it can receive tenant details that are part of an answer it asks for, such as names on a rent roll. You choose whether to connect an app and which portfolio it can read, and you can disconnect it at any time.

07

Rental applicants

When someone applies to rent through an owner’s application link, DoorKeeping collects what they enter (name, email, phone, work and income, past addresses and landlords, the others who will live there, pets, vehicles and an emergency contact), the documents they add (ID, pay stubs or an offer letter, bank statements) and their typed signature with its time. It never asks for a Social Security number or date of birth.

An AI model (Claude, by Anthropic) reads each document to fill in its details, such as the name, employer, dates and amounts, and only the last 4 digits of a bank account. It lists facts and differences between documents for the owner. It never scores the applicant or recommends a decision; the owner decides.

Only the owner and staff of the portfolio the applicant applied to can see an application. Documents open only through links that expire within a minute, and every time someone opens an application or a document is recorded.

If the owner orders a background or credit check, Checkr collects the applicant’s consent and details on its own page, under its own terms and privacy policy.

08

Text messages (SMS)

Tenants and local pros get texts from DoorKeeping only after they agree. They check an unchecked box when they join their home, in their tenant account or on a job link, or their landlord confirms they agreed. For each agreement we keep the mobile number, when and where it was given, the words they saw, and the network address and browser where we have them.

We use mobile numbers only to send the messages described at doorkeeping.com/sms: rent, maintenance and notices about the home, job offers for local pros, and answers to texts. Msg & data rates may apply. Msg frequency varies.

Mobile numbers and SMS consent are never shared with or sold to third parties for marketing or promotional purposes. Our text message provider, Telnyx, receives a number only to deliver a text.

Opt out any time: reply STOP (or STOPALL, UNSUBSCRIBE, CANCEL, END or QUIT), or turn texts off in your account. Reply HELP for help. Agreeing to texts is never a condition of renting.

09

Who receives it

Your organization: the people you add to it see your portfolio, as their role allows. Each organization’s data is kept apart by row level security in the database.

People the owner adds to their team see that portfolio inside the role the owner gives them: an accountant, lawyer or viewer reads it without changing it, a property owner sees only their own properties, and maintenance sees only the work orders sent to them.

The AI app you connect: Claude (by Anthropic) or ChatGPT (by OpenAI) receives the answers to the tool calls it sends. You choose to connect it, and it handles what it receives under its own terms and privacy policy, not ours.

Service providers who store or process data for us: Supabase (database and sign-in), Resend (sends sign-in code emails), Plaid (connects your bank to read the account details and the bank feed, which DoorKeeping will use to match rent payments), Telnyx (sends and receives text messages, only for people who agreed to texts), Vercel (hosting and server logs), Mixpanel (product use events, such as which page was opened or which step was finished; no names, emails, amounts or tenant data) and Intuit QuickBooks (when you connect it, to read your books and, once you approve, write summaries to them).

Whoever referred you: if you signed up through someone’s referral link, they see the date you joined, how many units your portfolio has, and their share of what you pay DoorKeeping. Never your name, your organization’s name or anything else about it.

Anthropic (the AI model that reads rental applicants’ documents for the owner). It receives each document only to read it.

Regulators, courts or law enforcement, only when the law requires it.

10

How long we keep it

Your account, your portfolio and your connection records: until you delete your account.

Bank transactions from an account you connect: until you delete your account.

The codes and tokens in a connection stop working much sooner. A request to connect an AI app must be finished within 10 minutes, and the one-time code that finishes it works once, within 10 minutes. Each connection’s access lasts 1 hour and renews for up to 30 days at a time, and a connection ends for good after at most 90 days. To keep using the app after that, you connect it again.

The audit log is kept for as long as your organization exists. It is append only: entries can’t be changed or deleted, so it can always show who did what.

Server logs are kept for the period our hosting provider keeps them.

Rental applications: an application never sent is deleted 30 days after its last change. For one that is withdrawn or not approved, its documents and what was read from them are deleted after 90 days and the rest after 2 years. An approved applicant’s application stays while the owner’s portfolio does.

11

Your choices

Disconnect an AI app: remove DoorKeeping from the connectors in your Claude or ChatGPT settings. You can also ask us at support@doorkeeping.com and we will end the connection. Either way, a connection ends on its own after at most 90 days.

See, correct or delete your data: email support@doorkeeping.com from the address on your account. We will answer within 30 days. Deleting your account deletes your portfolio and your connections. If we can’t delete something (for example the audit log, or a record the law requires us to keep), we tell you what and why.

A tenant who asks about their data should ask their landlord first, because the landlord decides what DoorKeeping holds about them. We help landlords answer.

12

Security

You sign in with an email code, or with a passkey where your device supports it. Row level security keeps each organization’s data apart. AI apps connect through OAuth, and only hashes of their codes and tokens are stored. Money and legal steps wait for an owner’s approval in DoorKeeping. No system is perfectly secure, so tell us right away if you think your account has been misused.

13

Children

DoorKeeping is for adults who own or manage rental property. We don’t knowingly collect information from anyone under 18.

14

Changes to this policy

We may update this policy. The version and effective date are at the top of this page. If a change is significant, we will tell you by email or in DoorKeeping before it takes effect.
