How to categorize rental bank transactions with AI
Ask your assistant to categorize money out. It files each unsorted bank line into an expense account using your past choices for that payee first, then keyword rules, then the AI, and flags the ones it is unsure of. You review the picks, correct what is off and confirm. Confirming labels the lines. It does not post anything to your books by itself.
Why bank lines pile up
A bill from a vendor is easy to code: it names the work. A card swipe at a hardware store or a transfer to a plumber with the memo "Nov" is harder. Those bank lines sit uncategorized until tax time, and then someone has to guess what a $212.40 charge was nine months ago. Sorting them weekly takes minutes. Sorting them in March takes an afternoon.
Each expense account maps to a Schedule E line, so a wrong category moves money between lines on your return. The list of lines is in Schedule E expense categories for rental property.
How the picks are made
When you ask the assistant to categorize money out, DoorKeeping looks at outgoing lines that have no bill, no rent match and no category yet, newest first. For each it tries three sources in order:
- What you chose before for the same payee. If you filed "Home Depot" under repairs last time, that comes first.
- Keyword rules, for example a utility company name or "insurance".
- The AI, for lines the first two cannot place.
Each line comes back with the account, the Schedule E line it maps to, the source of the pick and a confidence. Lines the system is unsure of are marked "needs a look". Your own picks always win: an automatic pick never replaces one you made.
The two-step routine
- Ask: "Categorize my uncategorized money out, 25 lines." You can ask for up to 100.
- Read the preview. Nothing is saved yet.
- Tell the assistant your corrections in plain words: "The $212.40 at Lowe's is a repair on 5A, not supplies."
- Say yes. The assistant confirms, and the picks are saved as labels on those lines.
Example a made-up preview shows 25 lines: 17 filed from past choices, 5 from keyword rules and 3 from the AI marked needs a look. You open the 3, fix one, say yes, and the 25 are labeled in about two minutes.
Saving labels does not post journal entries. Posting and closing the month stay separate steps, covered in month-end close and bank matching with AI.
What to watch for
- Capital versus repair. A new roof is not a repair. The assistant can suggest, but the line between repairs and improvements is a tax decision for you and your preparer. The IRS guide to residential rental property explains the difference.
- Personal charges. A line from a mixed account that is not a rental expense should not be filed to any property. Tell the assistant to leave it.
- Mortgage payments. Principal is not an expense. Only the interest portion belongs on a Schedule E line, and it comes from the lender's statement.
- Wrong property. A shared charge may need splitting. Say which properties it belongs to.
How DoorKeeping handles it
Bank feeds bring the lines in, and the categorize tool is available to Claude and ChatGPT. It previews first and saves only after you confirm. Rent stays in your own bank account, and anything involving money waits for your approval. Moving money out is never part of categorizing: it labels what already happened.

Questions
- Will the AI post these to my books?
- No. Confirming saves the category labels on the bank lines. Posting to the books is a separate step you control.
- What if the AI picks the wrong account?
- Tell the assistant the right one before you confirm. Your choice is saved and wins over any automatic pick from then on.
- How many lines can I do at once?
- Up to 100 per request. A smaller batch of 25 is easier to read and check.
- Does it work on lines I already matched to a bill or to rent?
- No. It looks only at money out with no bill, rent match or category yet.
