How to use AI to read rental bills and code them to Schedule E

AI can read a vendor bill, pull out the payee, date, amount and what the work was, and suggest an expense account that maps to a Schedule E line. You confirm the account and the property. The one call it cannot make for you is repair versus improvement, because that depends on facts about the work and decides whether you deduct the cost now or depreciate it.

What coding a bill means

Coding a bill means choosing the property it belongs to and the expense account it goes in. On the tax return, rental expenses are reported on Schedule E. The IRS instructions for Schedule E cover the expense lines, and expenses not listed there go on the general "other" line. If your accounts match those lines all year, filling the form is a copy job. The category guide explains each.

What AI is good at here

  • Reading a photo or PDF of a bill and listing the vendor, invoice date, due date, total and the work described.
  • Suggesting the account: plumbing repair to repairs, a property insurance premium to insurance, a lawn service to cleaning and maintenance.
  • Spotting a bill that covers two properties, or two kinds of work, and suggesting a split.
  • Noticing a bill you may have entered already: same vendor, same amount, close date.

Make the assistant show what it read. "Vendor, date, total, line items, and the account you chose and why" lets you catch a misread digit in seconds.

The call you make: repair or improvement

IRS Publication 527 says routine repairs and maintenance are generally deductible in the year paid, while improvements, which add value, extend the property's life or adapt it to a new use, must be capitalized and depreciated. It names a new roof, a kitchen remodel and central air conditioning as improvements. It also says to separate repair and improvement costs and keep records.

A bill for "roof work" could be either. A patch is a repair. A full replacement is an improvement. The invoice words often do not settle it, so the assistant should flag the bill and ask you, not decide. For the finer tests, see the safe harbor guide.

Example a made-up bill for $4,800 reads "roof, labor and materials". The assistant should not pick an account. It should ask whether this replaced the roof or fixed a leak. If you say it replaced the roof, the cost is an improvement to depreciate, not a repair to deduct this year. Your tax preparer confirms.

Checks before you accept the coding

  1. Is it the right property? One LLC per property keeps each property's books clean.
  2. Is the total the bill total, with tax and any credits?
  3. Is the account a repair, an improvement or something else?
  4. Is a personal expense mixed in? Those are not rental expenses.
  5. Is the vendor's W-9 on file, if you will pay them $600 or more in the year and a Form 1099-NEC could be due?

How DoorKeeping handles it

DoorKeeping reads a bill you upload with AI and suggests the coding. An AI-read bill waits in review for your confirmation, and a month cannot be closed while a bill is still in review. Expense accounts map to Schedule E lines, so the Schedule E report comes from the same books. Your assistant can list bills with their status, amount, due date, property and payee, showing only the last four digits of an account number. Paying a bill is separate: it is the one step that sends money, and it happens only after your approval on doorkeeping.com with a fresh sign-in. Rent and payments stay in your own bank accounts. DoorKeeping never holds your money and sends a payment only when you approve it. DoorKeeping gives no tax advice, so ask your tax preparer about repairs and improvements.

Questions

Can ChatGPT categorize my rental expenses?
Yes, as suggestions. Match them to the IRS Schedule E expense lines and confirm each one before it is recorded.
Is a new roof a repair or an improvement?
Per IRS Publication 527 a new roof is an improvement, which you depreciate. A patch is a repair. Ask your tax preparer about borderline work.
Can AI read a photo of a bill?
It can usually read a clear photo or PDF. Check the total and date against the original.
Should AI pay my bills?
No. Payment moves money, so it should wait for the owner's own approval.
