How to notify every tenant in a building at once with AI
Tell the assistant what is happening and which property. It writes a subject and a short message and asks you to approve one notice to every current tenant of that property. Nothing goes out until you accept it on doorkeeping.com. Then it is sent in batches, skipping anyone who opted out. Use it for a water shut-off or a repair visit, not for a legal notice.
What a building-wide notice is for
- A planned water or power shut-off and when it will end.
- A contractor visiting the building on a set day.
- A change to a gate code, trash day or parking rule that you are allowed to change.
- A reminder about an inspection or a street closure.
It is a message to everyone in one property. It is not the place for an entry notice to one unit with a legal time window, which has its own rules (see notice before entering an apartment), and it is not the place for a lease notice or a rent demand.
How to get a good message from the assistant
Give it the facts and ask for short:
- Property: Maple Street, all units.
- What: water off for a main valve repair.
- When: Thursday 9 am to 1 pm, back by 1 pm.
- What tenants should do: store water in advance, avoid the dishwasher and washing machine.
- Who to contact: your phone or email.
If a few tenants will be affected more than others, such as a ground floor unit whose water is off longest, say so in the message so they can plan. Keep one version of the facts and send it to everyone.
Ask for a subject under 10 words and a body under 100 words. Tenants read short messages and skip long ones, so put the date and time in the first sentence and the action they must take in the second. Check the date, the time and your contact line. The assistant will not know your schedule changed unless you say so. Never include anything about one tenant in a message that goes to all of them.
What happens when you approve
- The assistant queues the notice with the property, subject, body and how many tenants will receive it.
- You open it on doorkeeping.com and read the real recipient count.
- You accept. The notice goes out to every current tenant of that property in batches by email.
- Anyone who opted out is skipped.
If the count is wrong, such as 0 for a building you know is full, stop and check that tenant contact details are in the system.
After it goes out, tell the assistant what you said and when, and keep that in your notes for the property. If the work runs late, send a short follow-up the same way, so tenants hear from you before they have to ask.
Things to check before you send
- Your lease or state may require a minimum notice for a shut-off or entry. Check it before you pick the date.
- Tenants with a disability may need the information in another form. Ask them how they want to receive it if you know.
- Keep a copy. The sent notice is part of your record if a tenant later says they were not told.
- If you also text tenants on your own, texting has its own consent rules. Read texting tenants, consent and opt-out first.
How DoorKeeping handles it
The building-wide notice tool only queues an approval, and it is limited to one property at a time. Rent stays in your own bank account, and anything involving money waits for your approval. Contacting every tenant is a step where one wrong word reaches everyone, so it waits for your accept every time.

Questions
- Can the AI send the notice without asking me?
- No. It queues an approval and nothing goes out until you accept it on doorkeeping.com.
- Can I send one notice to several properties?
- The notice is for one property at a time. Ask for a separate one per property.
- Are tenants who opted out still sent the message?
- No. Anyone who opted out is skipped.
- Is this the right way to give an entry notice to one unit?
- No. Entry notices to one unit have state rules on timing and form. Use the process in the entry notice guide.
