How do you check a rental budget against actual spending with AI?
Ask your assistant for budget against actual for one property and one month. A good answer lists each income and expense account with its actual, its budget, the year to date and whether it is better or worse than plan, plus a forecast for the full year. The forecast is simple arithmetic: actuals so far, plus the budget for the months still to come. Your job is to check that the budget itself was realistic.
What a budget vs actual answer contains
For each income and expense account, the answer should give four numbers: this month's actual, this month's budget, the year to date actual and the year to date budget. A better-or-worse figure shows the gap. Income above budget is good, and expenses below budget are good, so both show as positive.
At the bottom come the totals your tax return is built from: operating income, operating expenses, net operating income and net income. For tax lines, see Schedule E with an AI assistant.
Prompts to type
- How is the Maple Street property doing against budget for September?
- Which expense accounts are over budget for the year so far, largest first?
- What is my full-year forecast for net operating income at Maple Street?
- Which month last year had the most repair spending, and was it one big job or many small ones?
Ask for one property or one LLC at a time. Mixing properties hides the line that went wrong.
How the forecast is built
A forecast is only a projection. In DoorKeeping it is the actuals so far plus, for each later month, the budget, or the average of the last three months where an account has no budget. Know which rule produced the number before you rely on it.
Example a made-up property budgets $250 a month for repairs, $3,000 a year. After five months the books show $2,400 spent. The year to date budget is $1,250, so repairs are $1,150 worse than plan. The forecast is the $2,400 already spent plus 7 months at $250, which is $4,150 for the year, $1,150 over the $3,000 budget. The forecast will not predict a second big repair. It only shows that, if the remaining months behave, the year is already over.
Check the answer before you act
- Is the budget real? A budget copied from last year's guess is not a measure of anything. Review the lines with the largest gaps first.
- Is the books side complete? Unmatched deposits, uncategorized bank lines and unclosed months distort actuals. See AI month-end close.
- Does net operating income agree with your profit and loss for the same dates? Both come from the same books and should match.
- Is a gap timing? Insurance and property tax often land in one month, so a high month is not a trend.
What to do with a gap
| The answer says | Try this |
|---|---|
| Repairs over budget, one large invoice | Open the invoice. Decide if it was a repair or an improvement for tax. Move on if it was a one-off. |
| Repairs over budget, many small jobs | Look for a repeating cause in the work order history for that unit. |
| Income under budget | Check vacancy and late rent first. Then check whether the budget assumed a rent increase that did not happen. |
| Forecast over budget for the year | Cut or delay discretionary work, or raise the budget with a reason you can write down. |
How DoorKeeping handles it
Budgets are set per property by the owner in the app. With your assistant connected you can ask for budget against actual for a property or an LLC and a month, in whole cents, with the year to date, the year's budget and the full-year forecast. It is read only: it never changes a budget or a book entry. You can also ask for the same report as a file to share with your accountant. Rent stays in your own bank account, and anything involving money waits for your approval.

Questions
- Can ChatGPT build a rental property budget for me?
- It can draft a list of categories and ask the right questions, but the amounts should come from your own bank and invoice history, not from the assistant's guess.
- Why is my forecast so different from my budget?
- The forecast uses actual spending so far, while the budget is a plan. A gap means actual spending already left the plan, so ask which accounts caused it.
- How often should I check budget against actual?
- Monthly, after the month is closed, so the numbers are complete. A weekly look at one property is fine for a quick check, but treat it as provisional.
- Does the assistant change my budget?
- It should not. Reading a report and editing a budget are different actions. Keep budget changes as something you do on purpose in the app.
