You missed rental deductions on a past return: how to amend with Form 1040-X

Use Form 1040-X. For a refund you must file within 3 years after you filed the original return or within 2 years after you paid the tax, whichever is later, under section 6511(a). Explain each change in Part II and attach the forms that changed, such as Schedule E. Missed depreciation is a separate case with its own method.

When you can still claim a refund

The time limit is in 26 U.S.C. section 6511(a). A claim for credit or refund must be filed within 3 years from the time the return was filed, or 2 years from the time the tax was paid, whichever expires later. The Form 1040-X instructions say the same in plain words: file within 3 years, including extensions, after the date you filed your original return, or within 2 years after the date you paid the tax, whichever is later.

Example a made-up landlord filed a 2024 return on April 10, 2025 and discovers $2,100 of missed repair bills in October 2026. Three years from filing runs to April 10, 2028, so a refund claim is in time. Check: October 2026 is about 1 year and 6 months after filing, well inside 3 years.

A return filed before the due date is treated as filed on the due date for this purpose, so ask your preparer how the clock runs on early returns.

What kinds of missed items to look for

  • Repairs and maintenance bills that were in the wrong pile or never entered.
  • Mileage and travel to the property, for which you need a log (see the landlord mileage deduction).
  • Property management and leasing fees, insurance, utilities, and supplies.
  • Tax preparation fees related to the rental, as in deducting tax preparation fees.
  • Deductions you had but left out because the books were not finished before the filing date.

A missed expense changes more than one number. It can change Schedule E, the net income, the passive loss calculation, and sometimes the tax. Your preparer reruns the whole return, not only the line.

How to file the amendment

  1. File Form 1040-X only after your original return has been filed.
  2. Use the form for the year being amended, with the original numbers in column A, the net change in column B and the corrected numbers in column C.
  3. Explain each change in Part II. The instructions say the IRS needs to know why you are amending, and a statement can be attached if you need more space.
  4. Attach every schedule or form that relates to the change. The instructions say that you must attach all appropriate forms and schedules or it will be returned. For rental expenses that means a corrected Schedule E, and any other form your preparer says changed.
  5. Keep the supporting receipts with your records.

The IRS says on its amended return page that you can amend the current year or the two prior years electronically with tax software, and that older years must be filed on paper. Allow 8 to 12 weeks for processing, and in some cases up to 16 weeks.

Missed depreciation is a different path

Depreciation you never claimed is not fixed the way a missed repair is. Depreciation is figured as "allowed or allowable", so skipping it does not erase it. The usual fix is an accounting method change on Form 3115, covered in forgot to depreciate your rental. Ask your preparer which route fits.

Keep it from happening again

Most missed deductions come from late bookkeeping. Reconcile the bank account every month, code each bill when it arrives, and review the year's expense list in January, not at filing time. The routine in the weekly bookkeeping routine for small landlords takes a few minutes a week.

This post cites the rules and does not give tax advice. A preparer can tell you whether an amendment is worth filing.

How DoorKeeping handles it

DoorKeeping keeps the bills, receipts and bank lines for each property, so you can ask Claude or ChatGPT for every expense by category and date for a past year and send the list to your preparer. It will not file an amended return, and nothing posts to the books without your one-tap approval.
