How do you reconcile a rental bank account to its statement with AI?

Give your assistant the statement date and closing balance. It compares them with what your books show for that date and returns the difference plus the entries since the last reconciliation to tick off. If the difference is zero, you save. If not, something is missing or wrong in the books, and the fix is to record it, never to adjust a number to make it fit.

What reconciling to a statement means

A reconciliation proves your books agree with the bank. You take the closing balance on the statement and the books' balance for the same day. They should be equal. If they are not, the difference is a list of things to find.

The IRS tells owners to keep records that support income and expenses on a return (see Publication 583). A monthly reconciliation is the plainest way to know those records are complete.

The steps

  1. Finish the month's matching first: every deposit on a lease and every bank line categorized. See matching unmatched deposits.
  2. Take the closing date and closing balance from the statement, to the cent.
  3. Ask the assistant: "Reconcile the Maple LLC operating account to my statement dated September 30 with a closing balance of $18,115.50."
  4. Read the draft. It shows the books' balance on that date, the difference, and the entries since the last reconciliation to tick off.
  5. Tick the entries that appear on the statement. If the difference is zero, tell the assistant to save it.

For a card account, give the card and use what the card owes as the closing balance.

When the difference is not zero

A difference is not a failure. It is the list of things to find. The usual causes are:

  • A bank fee or interest credit that is on the statement but not in the books.
  • A deposit or payment recorded in the wrong month.
  • The same item entered twice, or a transfer between two of your own accounts recorded on one side only.
  • A tenant payment that cleared but was never matched to a lease.

Example a made-up books balance on September 30 is $18,240.50 and the statement closes at $18,115.50, a difference of $125.00. Scanning the statement, the assistant finds a $25 monthly bank fee not recorded and a $100 payment to a vendor that cleared on September 29 but was entered as paid in October. Together that is $125, so the difference is explained. Record the fee, fix the date of the payment, and the books agree.

Ask the assistant to propose combinations of entries that equal the difference, then confirm each one against the statement line yourself. Never enter an adjustment just to force a match.

Where AI helps and where you check

  • Helps: listing entries since the last reconciliation, suggesting why a difference might exist, and drafting the note you keep with the month.
  • You check: that the closing balance you typed matches the statement exactly. A transposed digit makes a false difference.
  • You check: any proposed fix before it is recorded. The assistant can be confidently wrong about which line is the cause.

If you paste a statement into a chat that is not connected to your books, remove account numbers and tenant names first.

How DoorKeeping handles it

The reconcile tool works in two steps: the first call returns the draft, and nothing is saved until you say yes. It saves only when the books agree with the statement to the cent. If they do not, it tells you the difference so you can record what is missing first. The bank's own end-of-day balance is shown too when your bank feed provides it. The same tool works for a card account. Rent stays in your own bank account, and anything involving money waits for your approval.

Questions

Can ChatGPT reconcile my bank statement?
It can compare lists and suggest causes if you give it clean data, but it should not be the system of record. Reconcile in the books where the entries live and use the assistant as a helper.
How often should I reconcile a rental account?
Monthly, right after the statement closes. A difference found in the month it happened is far easier to explain than one found at year end.
What if the difference is only a few cents?
Still find it. A cents-level gap usually means a typo in an amount, and it can hide a larger offsetting error.
Do I reconcile each property separately?
If each property has its own bank account, yes: one reconciliation per account, so each property's books stand on their own.
