How to switch from TenantCloud to DoorKeeping: export, cancel and cut over

In TenantCloud, open Settings, then Security, and use the Export data section to download your transactions, leases, contacts and maintenance data as an Excel file, on a desktop browser. Do that before you cancel, because TenantCloud says cancelling deletes your account and all its data permanently.

How to export your TenantCloud data

TenantCloud's help center has an article called How do I export my account data. The steps it gives are below.

  1. On a desktop browser, click your profile and open Settings.
  2. In the Account Settings block, click Security.
  3. In the Export data section, click Export.
  4. Choose All data (the default) or Custom selection to pick specific properties.
  5. Click Export again. The file goes to the Downloads page; download it when it is ready.

The article says the export covers transactions, leases, contacts and maintenance data, comes as an Excel file organized so it can be imported into another account, and is available on desktop only. Large archives can take time, and TenantCloud emails you when the archive is ready. It also says to finish exports before cancelling and to check the files for the data you need.

What else to save beyond the export

A data export is not the same as a complete archive. Check that these exist outside TenantCloud before you cancel.

  • Signed leases and other documents: open the export and confirm whether files are included; if not, download them from each lease.
  • Tax reports for every year you used it, such as income and expense summaries, saved as files.
  • A rent roll and a list of balances as of your cutover date.
  • Vendor names and tax details for your 1099-NEC list.

Cancelling TenantCloud: what the help article says

TenantCloud's article How do I cancel or pause my subscription plan says to open Settings from your profile icon, choose My plan under Subscription, then use the Actions menu to select Cancel subscription. It offers a chance to export your data first, and you can end the subscription immediately or at the end of the current period for active subscriptions.

The same article warns that cancelling deletes your account and associated data permanently, that charges stop immediately after cancelling, and that no refunds, prorated or otherwise, are provided on cancellation. It also describes a 90 day pause that stops only the monthly fee: invoices and tenant autopay continue, and you cannot access the account during the pause. Because cancelling is permanent, cancel only after your numbers match in the new system.

Cutover timing and tenant autopay

Choose the last day of a month. Export on the first business day after it so every charge and payment is in the file. If tenants pay through TenantCloud, and especially if they use autopay, remember the pause article says autopay continues while a subscription is paused, so do not rely on pausing to stop it. End it by telling tenants the date and the new way to pay, and cancel only after the last rent you expect through TenantCloud has settled.

Example a made-up 8 unit portfolio exports on December 1. The file shows $1,200 of rent unpaid across two units and $9,600 in deposits held. After import, the new system must show those same two amounts before you tell tenants the new payment instructions.

What to tell tenants

Send one message after the numbers match. State the cutover date, where rent goes from then on, that their lease terms are unchanged, how to reach you, and that any saved TenantCloud payment method stops working on that date. Repeat the message a few days before the first rent date.

How DoorKeeping handles it

Use the export as the base for a CSV or XLSX rent roll: one row per unit with the tenant, rent and lease dates. DoorKeeping reads it, you confirm the properties, units and leases it found, and each property gets its own books and bank account. Leases and renewal offers can be signed online, and bank deposits are matched to tenants by their memo and exact amount.

Rent and payments stay in your own bank accounts. DoorKeeping never holds your money and sends a payment only when you approve it. Pricing is $2 per unit per month with every feature included.
