How to switch from DoorLoop to DoorKeeping: what to export first

DoorLoop's own help center says to export your data through Reports before you cancel, and it keeps data for six months afterward. Export the tenant, lease and ledger reports as Excel, cut over at a month end, and load the current rent roll into DoorKeeping. Here is the full order of work.

How to export from DoorLoop

DoorLoop's FAQ "What Happens to Your Data When You Cancel DoorLoop" tells you to "export your data first via Reports." Another help answer says any report can be exported as an Excel (.xlsx) file or a PDF from the Reports section, by opening the report and clicking the Excel or printer icon. DoorLoop also lists tenant reports (current tenants, future tenants, previous tenants, pets and vehicles) that can be printed or exported to an Excel-compatible format. DoorLoop's help pages describe .xlsx and PDF, so plan on those formats.

Report names can differ in your account, so use these as a guide and check the Reports section.

How long the switch takes

Exporting is quick. Most of the time goes into tidying the spreadsheets, setting up properties and comparing the totals. For a small portfolio, plan about a week of part-time work, started a few weeks before a month-end cutover.

Cutover timing and automatic charges

DoorLoop has its own help articles about how automated charges and notifications behave around a start date, which points at something useful: recurring charges are what most often double up or go missing during a move. Before the cutover, write down every recurring charge in DoorLoop (rent, pet rent, parking, utilities) and decide which of them the new system will create from the first rent date.

  1. Close the last month in DoorLoop and run your final reports.
  2. Turn off anything in DoorLoop that would charge or notify tenants after the cutover date.
  3. Import the rent roll and confirm balances and deposits match.
  4. Send the tenant notice, then watch the first rent cycle.

Example a made-up 8 unit property has recurring rent of $9,600 a month and two $75 monthly parking charges. If only the rent is recreated, the new system will be $150 a month short of the old one. A line-by-line comparison of recurring charges catches this before tenants do.

What to tell tenants

Tell tenants once: the date, how to pay from then on, that their lease and rent do not change, and where to ask questions. If they paid through a DoorLoop portal or autopay, say that it ends and what replaces it, and send a reminder a few days before the first rent date.

Cancelling DoorLoop

DoorLoop's help center says that after you cancel it retains your data for 6 months, so you can reactivate and pick up where you left off, and that you can contact support by chat to request temporary account access to old reports. Do not rely on that as your archive: export first, and read your own agreement for the cancellation process and any term.

How DoorKeeping handles it

Your DoorLoop tenant and lease exports are the raw material for the rent roll you import, so make sure each unit appears once.

In DoorKeeping you add each property with the LLC that owns it, import your rent roll from a CSV or XLSX file, and confirm the units, tenants and leases it reads. Each property has its own books, and tenants keep paying your own bank, by bank transfer or Zelle where your bank supports it, with a memo like 12B SMITH and an exact amount with its own cents. The price is $2 per unit per month with every feature included, no setup cost and no minimum. The general version of this plan is in the switching checklist.
