How to switch from Avail to DoorKeeping: reports to save and how to cut over

Open Reports in Avail, run the Received Payments report and ask for it by email as a CSV, and save every other report your account offers before you leave. Avail's help pages could not be read for this guide, so the one documented path comes from a dated Avail community thread and the rest says to check your own account.

What this guide could and could not confirm

Avail's own help pages blocked automatic reading when this guide was written on October 30, 2026. The only export steps found are in a thread on the Avail community forum about tax documents, posted February 5, 2021, with later replies through January 2023. Menu names may have changed since, so use it as a map and look at your own screen. Where there is no confirmed menu path below, the text says to look in Reports.

What to export from Avail

The community thread describes this path: log in, choose Reports in the left navigation, find the Received Payments report, and click Email Report. Avail then emails a CSV file of received payments for your properties, with the tenant name, address and unit, transaction dates, amount and payment status or method. It also names All Rent Payments under Reports as an on-screen view you can filter to show only received payments, and mentions an Accounting feature introduced around February 2022, and a billing history under the subscription plan for the fees you paid Avail.

The thread also notes that charge types were labeled imperfectly in the report in 2022 replies (fee and late fee lines shown as rent), so read the export before you rely on it for taxes.

What carries over and what stays in files

  • You load: properties, units, tenants, current rent and lease dates.
  • You check once: what each tenant owes and the deposits held on the cutover date.
  • You keep as files: the payment history exports and any year-end tax documents.

Tax records matter long after the login is gone. The IRS page How long should I keep records? explains how long to hold them.

Cancelling or downgrading Avail

No Avail page with cancellation or refund terms could be read for this guide, so check your agreement and the subscription page in your account for notice periods, what happens to your data after you leave, and any refund rules. Do this before you pick a cutover date, and save your exports before you change the plan, since a downgrade can change what you can see.

Cutover timing and telling tenants

Pick a month end. Run the final reports on the first business day after it so every payment is in. Send tenants one message with the date, the new way to pay, that the lease is unchanged and who to contact, and remind them before the first rent date. If tenants pay through an Avail online payment link or autopay, say plainly that it ends on that date.

Example a made-up 4 unit house portfolio emails the Received Payments report on December 1 and finds $6,400 received for November. After setup, the new books must show $6,400 for November before you change where tenants pay.

How DoorKeeping handles it

Small landlords with a few houses or condos fit DoorKeeping the same way larger owners do. Add each property with its LLC, import a simple CSV or XLSX rent roll with one row per unit, and confirm the leases and tenants it reads. Bank deposits are matched to tenants by memo and an exact amount, and Schedule E and the 1099-NEC report come from the books.

Rent and payments stay in your own bank accounts. DoorKeeping never holds your money and sends a payment only when you approve it. DoorKeeping costs $2 per unit per month with every feature included and no minimum.
