Do I need property management software for 10 units?
No, not strictly. Plenty of owners run 10 units well with a spreadsheet, a separate bank account and a calendar. Software starts to pay for itself when it saves you more time each month than it costs, which usually happens once you own the units through more than one LLC, chase several payments a month, or plan to buy more.
What 10 units actually take each month
Before choosing a tool, time the work. Here is a sample month for a made-up owner with 10 units in one building, managed alone.
| Task | Minutes a month |
|---|---|
| Check 10 rent payments against the rent roll | 40 |
| Follow up on two late payments | 30 |
| Enter and categorize about 25 bank lines | 50 |
| Reconcile the bank account | 20 |
| Handle three repair requests and pay the vendors | 90 |
| Update the rent roll and lease dates | 15 |
| Total | 245 |
Example in the made-up month above, 40 plus 30 plus 50 plus 20 plus 90 plus 15 minutes is 245 minutes, a little over 4 hours. The repair line is mostly phone calls and site visits that software barely shortens; the rent and books lines, 140 minutes, are where software saves the most.
When a spreadsheet is enough
A spreadsheet works at 10 units if you keep it disciplined. Use four tabs:
- Rent roll: unit, tenant, lease start and end, rent, deposit, balance.
- Ledger: date, payee, amount, category (the Schedule E lines), invoice link.
- Deposits held: tenant, amount, date received, account it sits in.
- Repairs: date, unit, issue, vendor, cost, status.
Keep a separate bank account for the property, reconcile it every month, and save invoices in one folder per year. If all of that takes you under two hours a month and never slips, you may not need anything else yet.
Signs you have outgrown the spreadsheet
- You own the units in two or more LLCs, so you are keeping several ledgers by hand.
- You regularly cannot say, in under a minute, who has not paid this month.
- Your deposits-held tab and your bank balance no longer agree, and you are not sure why.
- You plan to buy another building in the next year or two.
- You pay many contractors. The IRS says that since tax year 2023, anyone filing 10 or more information returns must file them electronically, so a growing vendor list adds work.
- A partner, lender or spouse wants reports you cannot produce quickly.
Any one of these is a reason to look. Two or more usually means the spreadsheet is already costing you more time than software would.
What software costs at 10 units
At 10 units, minimums matter. Yardi Breeze lists $1 per unit with a $100 monthly minimum, so 10 units pay $100. TurboTenant lists Essentials at $149 a year and Pro at $199 a year for 1 to 10 units. RentRedi lists one flat price of $12 a month billed annually. DoorKeeping is $2 per unit, or $20 a month for 10 units. Our cost per unit guide and the comparison page have more.
Example a made-up owner values their time at $40 an hour and software cuts the rent and books work from 140 to 60 minutes a month, saving 80 minutes, worth about $53. A tool costing $20 a month leaves about $33 a month ahead; a tool costing $100 a month would be about $47 behind on time saved alone. Your own numbers will differ, which is why timing the work comes first.
What you do either way
Software does not replace the owner's judgment. With or without it, you still decide rent increases, approve repairs, screen applicants fairly, and follow your state's notice rules. The self-management routine is the same at 10 units as at 50; software only shortens the steps.
How DoorKeeping fits at 10 units
DoorKeeping costs $2 per unit per month with no minimum, so 10 units cost $20, with every feature included and no setup cost. Each property gets its own books with Schedule E accounts, tenants pay your own bank with a memo and an exact amount that make each payment easy to tell apart, and you can ask Claude or ChatGPT about your rent roll. Anything with money or a legal step waits for your one-tap approval, and the 1099-NEC report comes straight from the books.
