AI rent reminders: when to send them and what to say

Send a short reminder a few days before rent is due and a second one the day after if it is not in, each with the amount, the due date and how to pay. Let the assistant write the words and keep the schedule yourself. A friendly reminder is not a legal demand: in Florida, for example, a written demand has its own required wording and counts days differently.

Why a reminder is worth sending

Most late rent is forgetfulness or a slow bank transfer, not refusal. A short, polite reminder costs you a minute and can save a late payment. It also starts a clean record: a dated message showing you asked in a friendly way before anything formal.

A simple schedule

Match the dates to your lease. If the lease gives a grace period, do not describe rent as late until it ends.

Prompts to copy

Example prompt, before the due date: "Write a two-sentence friendly reminder that rent of $[amount] is due on [date]. Include how to pay: [method and memo]. No threats, no mention of fees. Sign it [name]."

Example prompt, after the due date: "Write a calm, three-sentence message to a tenant whose rent of $[amount] was due on [date] and has not arrived. Ask them to pay by [date] or reply if there is a problem. Do not mention fees, notices or the law. Use only these facts."

A reminder is not a legal notice

Many states require a specific written notice before you can end a tenancy for unpaid rent, with set wording and a set count of days. Florida's statute describes a written demand for payment or possession and a 3 day period that excludes Saturday, Sunday and legal holidays (Florida Statutes 83.56). A friendly reminder that does not meet your state's requirements does not start that clock, and a legal notice that is phrased like a chat message may fail. Keep the two separate: one tone for reminders, and the state form for the demand.

Example a made-up tenant owes $1,300 due on the 1st. A reminder goes out on the 29th of the month before, and a second on the 2nd. Neither is a notice. If the landlord later serves a state-form demand, it is dated and delivered separately, and the earlier reminders show the landlord asked politely first.

Keep a record of what you sent

Whatever tool writes the reminder, save what you sent: the date, the tenant, the amount and the message. If you ever need to show that you asked politely first, or that a payment was on time, the record settles it. A note in the tenant's file works, and so does a message history in your property software.

Check the amount against your books before every reminder. A reminder that states the wrong amount, or asks for rent that has already been paid, costs you goodwill and can confuse the record. If a tenant says they paid, look at the bank deposit before you reply, and let the assistant draft the apology if you were wrong.

  • State the amount and the due date in the first line.
  • Say how to pay and what memo to use.
  • Leave out fees, threats and legal words in a first reminder.
  • Send the same kind of reminder to every tenant on the same day each month.

How DoorKeeping handles it

Tenants pay your own bank account, and DoorKeeping gives each tenant a memo like 12B SMITH and an exact amount with its own cents, so a reminder can say exactly what to send and a payment is easy to match. From a connected assistant you can ask who has not paid, and the assistant drafts a message that you approve before it goes to one tenant. A late rent notice is drafted in the property's state form, and it is delivered only when you tap Deliver notice.

Questions

How many reminders are too many?
A few, spaced out. Daily messages can read as pressure. After your grace period, move to the steps your lease and state allow.
Can AI send the reminders by itself?
That is a setting in some tools. Decide what it may send alone. A cautious setup lets it send first reminders and leaves anything after the due date for your own review.
Should the reminder mention a late fee?
Only if your lease and state allow that fee, and only with the right amount. Ask the assistant to leave fees out unless you give the terms.
