AI prompts for chasing late rent, and the steps the AI should not take alone
An AI assistant connected to your records can tell you who is late, show the ledger behind each balance and draft a reminder or a pay or quit notice in seconds. What it should not do alone is waive a charge, apply a late fee that your lease and state law have not cleared, or deliver a legal notice. Those wait for you. Below are prompts for each stage of a late rent month and what each one needs.
Step 1: find who is actually late
A plain chat cannot know who paid. It can only work from what you paste. A chat connected to your records can ask the software. The first prompt of the month is the simplest:
- "Who has not paid this month's rent? Longest overdue first, with the amount owed."
- "Which of those paid part of the rent, and how much is still owed?"
- "Show anyone late more than once in the last six months."
Then check the first answer against your bank. If your software matches bank deposits to tenants, a late list is only as good as that matching, so spot-check one name each month.
Step 2: read the ledger before you write anything
Most late rent mistakes start with a wrong balance: an old late fee, a credit that was never applied, a deposit mixed into rent. Before drafting anything, ask for the evidence.
- "Show unit 4's ledger for the last three months: every charge, payment and credit, with dates."
- "Does the balance include any late fee? Which charge created it?"
- "Was any payment received but not matched to a charge?"
Example a made-up tenant is shown as owing $1,450. The ledger shows rent of $1,400 and a $50 charge from last month that the tenant paid on the 3rd but that was matched to the wrong month. The real balance is $1,400, not $1,450. A notice that demanded $1,450 would have demanded money that was not owed.
Step 3: draft the reminder or notice
Drafting is where AI saves the most time and where details matter most. Give it the facts and ask it to use only those.
- "Draft a short, polite reminder to the tenant of unit 4 for the $1,400 due on the 1st. Use only these facts. Do not mention fees."
- "Draft a pay or quit notice for past due rent only. Leave the state's required wording and the cure period as blanks for me to fill in."
The notice period and wording come from state law, and they vary: see how a pay or quit notice works. Do not let a chat fill in a cure period from memory. Check your state's statute or ask a local attorney.
Step 4: late fees and waivers belong to you
Late fees are capped or restricted in many states and must be in the lease, so a rule belongs in your settings, not in a chat guess. See late fee limits by state. Asking an AI "what fee should I charge" gets an answer that sounds sure and may be illegal where you are. Waiving a fee or giving a concession is a money decision: the AI can prepare it, and you decide.
What the AI should never do alone
| Step | AI alone? | Why |
|---|---|---|
| Find late tenants | Yes, read only | It only reads. |
| Draft a reminder | Yes, as a draft | You review before it goes out. |
| Send a legal notice | No | A notice has legal effects, and the wrong wording or timing can undo an eviction. |
| Waive or reduce a charge | No | It changes money owed. |
| Decide whom to evict or treat differently | No | Fair housing applies to your decisions, and the same rule must apply to every tenant. |
The Fair Housing Act overview from HUD lists the protected classes. An assistant that drafts a stricter message for one tenant than another is a risk, so give it a rule and apply it the same way to everyone.
How DoorKeeping handles it
Through the connector, Claude or ChatGPT can run the report of who owes rent, read one lease's ledger, and draft a pay or quit notice for past due rent only. Delivering the notice stays your tap on doorkeeping.com. Late fees follow a rule you approve once, within state caps, and the AI cannot accept an approval for you. DoorKeeping gives no legal advice, so check the notice period with your state's law.

Questions
- Can ChatGPT write a late rent notice?
- It can draft one, but notice periods and required wording are set by state law. Leave those as blanks to fill from your statute, and send it only after you have checked it.
- Can AI tell me who has not paid rent?
- Only if it is connected to your records or you paste the data. A plain chat has no way to see your bank or ledger.
- Should I let AI charge late fees automatically?
- Set the rule yourself, within your lease and your state's cap, and let the software apply it. Do not take a fee amount from a chat.
- What should I do if the ledger balance looks wrong?
- Ask for the ledger lines and find the charge or payment that does not fit before you send anything.
