How to switch from Yardi Breeze to DoorKeeping: exports, terms and cutover
Run your Breeze reports from the Reporting tab and export them to Excel before you give notice, because Yardi's published Breeze Premier terms say access and data end when the term ends. Cut over at a month end, load your current rent roll and opening balances into DoorKeeping, and keep the exported reports as your history.
What to export from Yardi Breeze
Breeze keeps reports in its Reporting tab. Yardi's own Breeze blog explains that standard reports come with both Breeze and Breeze Premier, while ad hoc reports, where you pick a data point such as tenants or properties and then the fields and filters, are built in Breeze Premier and can be exported to the screen, Excel or PDF. Yardi's tenant statement guide also starts from the Reporting tab. This guide could not find a Yardi help page that lists every report name, so look through the Reporting tab of your own account and use the list below as a checklist of what you need, not as menu names.
| What you need | Look for | Why it matters |
|---|---|---|
| Current tenants and leases | A rent roll or tenant list, or an ad hoc tenant report in Premier | Source for the file you import |
| Balances at the cutover date | A tenant ledger or statement run for the last day of the month | Opening balance per tenant |
| Deposits held | Deposit lines in the ledger or a deposit report | A liability you must carry forward exactly |
| Books for tax years | General ledger, income statement and a bank reconciliation for each year | You need them after the login is gone |
| Vendors | Vendor list with tax details | Year-end 1099-NEC records |
| Documents | Leases and notices stored on the tenant or property | Download them one by one |
Save every export as an Excel file with the cutover date in the file name, and open each one to check it has data before you move on.
How long does leaving Breeze take?
For a small portfolio, expect a few working days of hands-on work across one to two weeks: one day to run and save exports, one to set up properties and import the rent roll, and one or two to compare balances. Start the export early, because the terms in the next section make the end of your term a hard stop for your data.
What Yardi's published terms say about leaving
Yardi publishes Breeze Premier terms (version dated April 8, 2026). They describe a one-year initial term that renews for a new one-year term, a trial period that ends on the 30th day of the initial term, and a termination step: call Yardi at the number in the terms or send a written termination notice to the Terminations address listed there. They say that if you cancel after the trial you remain responsible for fees through the end of your final term, that access and data end at the close of the term or trial, and that data is deleted at the end of a 45 day period. They also say you may copy, delete and export your data at any time using the standard user functionality.
Those terms are for Breeze Premier. If you use Breeze without Premier, or signed a separate order form, read that document, and check your agreement for notice dates before you choose a cutover month.
What carries over to the new system
- You load: properties, units, tenants, current rent and lease dates, vendors.
- You check once: each tenant's balance and deposit at the cutover date, and the bank balance.
- You keep as files: old ledgers, reconciliations, owner statements and tax reports.
- You download separately: leases and other documents.
The IRS page How long should I keep records? says to keep records connected with property until the period of limitations ends for the year you dispose of the property, so plan where the archive lives.
Cutover timing and telling tenants
- Pick the last day of a month and close that month in Breeze.
- On the next business day, run the final ledger and rent roll exports.
- Load the rent roll into the new system and compare every balance and deposit to the exports.
- Tell tenants once the numbers match: the date, how and where to pay from then on, that the lease and rent do not change, and who to contact. If tenants used Breeze online payments or autopay, say plainly that it ends on the cutover date and what replaces it.
Example a made-up 12 unit building cuts over on October 31. The exported ledger shows two tenants owing $600 and $350, so $950 is owed, and the deposits held total $14,400. The new system must show $950 owed and $14,400 held before you send the tenant notice.
How DoorKeeping handles it
Add each property with the LLC that owns it, then import your Breeze rent roll as a CSV or XLSX file and confirm the units, tenants and leases DoorKeeping reads from it. Every property gets its own books, and you see all properties together. You ask Claude or ChatGPT to run things, and anything involving money or a legal step waits for your one-tap approval.
Rent and payments stay in your own bank accounts. DoorKeeping never holds your money and sends a payment only when you approve it. The price is $2 per unit per month with every feature included, no setup cost and no minimum.
