How to switch from Stessa to DoorKeeping: reports to download and account closing

Download your reports from the Reports page in Stessa, including the general ledger, income statement, rent roll and Schedule E where your plan includes it, before you ask Stessa to close your account. Stessa says account deletion is permanent and its closing article does not say whether you can export first, so save everything beforehand.

Which Stessa reports to download

Stessa's article on what reports come with each subscription lists these reports: General Ledger, Income Statement, Net Cash Flow, Rent Roll, Stress Test, Basic Tax Package, Schedule E (Manage and Pro plans), and, on the Pro plan only, Balance Sheet, Capital Expenses and Schedule of Real Estate Owned. Which ones you can use depends on your plan.

Stessa's article on transactions explains that on the Reports page you choose a report type, scope, date range and layout, then use Download to export to Excel or PDF. Its rent roll article says the report pulls from the units and leases entered on each property's Leases tab, and can be downloaded as PDF or Excel.

This guide found no Stessa article that says how to export a raw transaction list as CSV, so use the General Ledger report in Excel for that.

How long does it take?

Stessa is mainly a bookkeeping tool, so most of the work is the books rather than tenants. Plan one day to download every report for every year and every property, a day to set up properties and import the rent roll, and a day to check totals. Do not wait for the account to be closed to find a gap, because you cannot go back and re-run a report afterwards.

What carries over

  • Loaded as data: properties, units, tenants, rent, lease dates and deposits from the rent roll.
  • Checked once: the bank balance of each property and each tenant's balance on the cutover date.
  • Kept as files: past years of ledgers and tax reports, which stay in your archive.

If you used Stessa to track categories for Schedule E, use the report and category names in your files as the map when you set up expense accounts in the new system. The IRS page Tax Information for Landlords is the primary source for what rental income and expenses belong on Schedule E.

Closing your Stessa account

Stessa's article Closing Your Stessa Account says you request deletion by emailing support@stessa.com or using the messenger, from the email linked to the account. It states that deletion is permanent, that portfolios, properties, transactions and bank connections are removed, and that you can create a new account later with the same email but the old data will not come back. It adds that a Cash Management account must have a zero balance with nothing pending before the account can be deleted, and that you can close only the Cash Management account and keep the rest. The article does not say whether you can export first, so ask support if you have doubts, and do your downloads before you send the request.

Cutover timing and telling tenants

Cut over on a month end. If tenants pay rent through Stessa, tell them the date their payments will move, the new way to pay and that their lease is unchanged. Do not close the Stessa account until the last payment you expect through it has cleared and the reports are saved.

Example a made-up 6 unit portfolio runs its General Ledger for 2025 and 2026 year to date and finds $54,000 of rent income and $21,500 of expenses for 2025. After setup, the new books should show the same two totals for 2025 before you trust any later report.

How DoorKeeping handles it

DoorKeeping keeps one set of books per property, with expense accounts that map to Schedule E lines, bank feeds and deposit matching, and month-end close. Import the Stessa rent roll as a CSV or XLSX file, confirm what DoorKeeping reads, and the leases and tenants are in place.

Rent and payments stay in your own bank accounts. DoorKeeping never holds your money and sends a payment only when you approve it. It costs $2 per unit per month with every feature included.
