How to switch from Rent Manager to DoorKeeping: exports and cutover
Rent Manager has a large report library, and reports can be exported to Excel or CSV from the report screen. Export the rent roll, tenant ledgers, deposits and general ledger as of a month end, load the current rent roll into DoorKeeping, and keep the old files for your records.
How to export reports from Rent Manager
Run each report as of your cutover date, then use the export option on the report screen. Pick CSV where it is offered when the file is going into another system, and Excel or PDF for files you keep. Rent Manager's knowledge base has an article on exporting reports to CSV and Excel; if a report you need does not appear in your list, ask your Rent Manager administrator to give your user access to it.
Rent Manager's website says its library has more than 450 reports. Its 2025 feature update says Excel exports now give cleaner data with no extra headers or columns. Rent Manager is also highly configurable, so your company may have custom reports and user-defined fields. Look for those first, because they often hold the data you care about.
What to export
| What you need | Look for in the Reports list | Format |
|---|---|---|
| Units, tenants, rent and lease dates | Rent roll or tenant list reports | CSV |
| Balances owed on the cutover date | Tenant ledger or aged receivables, as of the date | CSV and PDF |
| Deposits held | Security deposit report | CSV |
| General ledger, profit and loss, by property | Accounting reports, each year | Excel and PDF |
| Vendors and 1099 totals | Vendor list and 1099 report | CSV |
| Documents and photos | Attachments on tenants, units and work orders | Download separately |
Report titles vary between Rent Manager versions and company setups. Treat this list as what to look for, not exact names.
How long it takes
Because Rent Manager setups vary, the length depends on how many custom fields and recurring charges you use. A small portfolio can export in a day, with a few more days to import and check. If you have many properties or custom charge types, give yourself a month.
Cutover: month end, deposits and recurring charges
- Choose a month end and close that month.
- Export the reports as of that date, in CSV for loading and PDF for your files.
- Make a list of every recurring charge type used in Rent Manager and check each tenant's monthly total against the lease.
- Import the rent roll and compare units, rent, deposits and balances to the exports.
- Tell tenants the new way to pay, and stop posting charges in Rent Manager.
Example a made-up 30 unit portfolio exports a rent roll showing $36,000 in monthly rent and a deposit report showing $39,500 held. After the import, both totals must match to the dollar. A $50 difference usually means one unit has a charge that was not exported.
What to tell tenants
One notice, sent after the numbers match: the date, the new way to pay, that the lease is unchanged, and your contact details. If tenants used a Rent Manager online portal, tell them it stops on the cutover date. Add a reminder a few days before the first rent date.
Contract and cancellation
Rent Manager does not publish its cancellation terms on a public page that this guide could cite, so check your own agreement or order form for the term, notice period and what happens to your data. Ask your Rent Manager contact in writing what you will be able to access, and for how long, after the contract ends.
How DoorKeeping handles it
Export the rent roll as CSV, remove blank and total rows, and keep one row per unit before you import it.
In DoorKeeping you add each property with the LLC that owns it, import your rent roll from a CSV or XLSX file, and confirm the units, tenants and leases it reads. Each property has its own books, and tenants keep paying your own bank, by bank transfer or Zelle where your bank supports it, with a memo like 12B SMITH and an exact amount with its own cents. The price is $2 per unit per month with every feature included, no setup cost and no minimum. The general version of this plan is in the switching checklist.
