How to switch from Baselane to DoorKeeping: exports, banking and closing
Download your Baselane transactions and reports before you cancel or close anything, because its terms say that after closing you may be able to download certain data for a period Baselane decides. Move any money out of Baselane Banking accounts first, then cut over at a month end.
What to export from Baselane
Baselane's help center has articles on downloading a statement of your transactions as a CSV file, and on generating financial reports, a rent roll and tenant ledgers. Fetching those two pages was refused, so the steps here come from search results that describe them, so the pages themselves were not read. As described, you download transactions from the Transactions tab after filtering by date, category, property or account, and the year-end tax package is found under Analytics and Reporting and downloads as two CSV files: a cash flow report and a transaction ledger. Look for the same options in your own account.
| What you need | Look for | Why |
|---|---|---|
| All transactions | Transactions tab download (CSV) | The record of income and expenses |
| Rent roll and tenant ledgers | The reports area under Analytics and Reporting | Tenants, rent, balances |
| Tax package for each year | Tax package or Schedule E report | Compare to your filed return |
| Banking statements | Statements for every Baselane Banking account | The bank record is separate from the books |
| Leases and documents | Files stored on each tenant or property | Download them one at a time |
If you bank with Baselane
Baselane is also a bank account provider. Closing a bank account is a separate step from cancelling a software plan. Per the search results on its business deposit agreements, you should move or withdraw funds before requesting closure, and accounts left open can keep incurring fees. Check your deposit agreement for the exact terms. Change where rent is deposited only after the new account is working, so no payment lands in a closed account.
Cancelling and closing: what the terms say
Baselane's payment policy says you can cancel through your account or by emailing support@baselane.com, that the subscription then does not renew after the current period, that you can use the paid service until that period ends, and that you are not eligible for a prorated refund. Its terms of use say you may close your account by contacting support@baselane.com, and that after closing you will be able to access and download certain data for a reasonable period decided at Baselane's sole discretion. They also say Baselane has no obligation to store your content, and that closing may include deletion of files and content in the account.
In short, the window to download after closing is not fixed. Export before you start the closing process.
How long it takes and when to cut over
Expect a few working days: a day to export and save, a day to set up properties and import the rent roll, and a day to compare balances. Cut over at the end of a month, once you have closed the month in Baselane and exported the final ledger.
Example a made-up 10 unit portfolio exports its ledger on the first business day after a month end and finds $13,000 of rent received that month. After import, the new books must show $13,000 of rent received for the same month before you change where tenants pay.
What to tell tenants
If tenants pay rent into a Baselane account, tell them the cutover date, the exact new place and amount to pay, that the lease is unchanged, and who to contact. Remind them a few days before the first rent date, and keep the old account open until the last expected payment has arrived.
How DoorKeeping handles it
You can keep the bank you already use. DoorKeeping connects bank feeds, matches deposits to tenants by memo like 12B SMITH and an exact amount with its own cents, and keeps separate books for each property. Import your rent roll from a CSV or XLSX file and confirm the units, tenants and leases it reads.
Rent and payments stay in your own bank accounts. DoorKeeping never holds your money and sends a payment only when you approve it. The price is $2 per unit per month, with every feature included.
