What to do when an applicant starts a rental application and does not finish

Wait a day, then send one friendly message with the link and the list of what is missing. Send the same message to every applicant who stalls, and set a clear cutoff date. AI can keep a list of who has not finished, but it should only report facts, never guess why someone stopped.

Why applications stall

People start an application on a phone, then realize they need a pay stub, an ID photo or a previous landlord's phone number. They plan to come back and do not. It is rarely a sign of anything about the person. It is usually a missing document.

Treat a stalled application as an open task, not as a verdict. The goal is to get the missing piece or to close the file cleanly.

A fair routine in four steps

  1. Set a deadline in your listing and your application page. Example: complete applications are reviewed on Friday, and incomplete ones wait.
  2. A day after someone stops, send one message with the link and the specific items still missing.
  3. Two days later, if nothing has changed, send one reminder that includes the deadline.
  4. After the deadline, tell the applicant their application is incomplete and will not be considered for this unit. Keep the message neutral and short.

The same deadline and the same steps for everyone is what makes this fair. Do not give one applicant extra time because you like them, and do not drop one early because of a feeling. Write your rule down. See written screening criteria.

A message you can adapt

"Thanks for starting your application for unit 4C. We still need your most recent pay stub and a photo of your ID. You can finish here: [link]. Complete applications are reviewed on Friday, so please finish by Thursday evening."

Notice what it leaves out. It does not guess why they stopped, comment on their situation or ask about anything unrelated to the application.

What AI can and cannot do here

Fine for AIKeep for yourself
List applications that are not complete and what each is missingDeciding who to approve
Draft the reminder using your templateDeciding to give someone extra time
Count how many complete applications you have by the deadlineAny judgment about a person from how fast they answer

A good assistant states facts: this application has no pay stub; that one has a name that does not match the ID. It does not rank people, and it does not guess anything about a protected class. If your tool offers a score or a recommendation to approve or deny, be cautious. The decision belongs to you, with the same written rule for every applicant.

Close the file and clear what you do not need

An application holds an ID photo, pay stubs and past landlord details. When an application is closed, do not keep the documents longer than you need them. Many states expect reasonable care with consumer information, so decide how long you keep closed files and delete them on that schedule.

Tell applicants in your message what happens to an incomplete file. A single line such as "Incomplete applications are closed after Friday and the documents are deleted" builds trust and tells them they do not need to chase you.

This is general information, not legal advice. Retention rules vary, so check yours.

How DoorKeeping handles it

Each unit gets a public application link with no account needed. Applications save as the applicant goes, so they can come back. Your assistant can list applications with where each stands and how many facts the document check verified or flagged. It reports facts only and never ranks applicants. You decide, and approving opens the unit's new lease, filled with the applicant's details.

Questions

How long should I wait for an unfinished application?
Set a clear deadline in advance and give every applicant the same one. A day before the first reminder and a firm cutoff before you review is common.
Can I reject an incomplete application?
You can decide not to consider it if your written rule says complete applications only. Apply that rule to everyone.
Should AI decide which applicant to approve?
No. AI can summarize facts and flag inconsistencies. The decision stays with you, using one written standard.
What if an applicant says they cannot finish online?
Offer another way to submit the same information, and consider whether a disability accommodation applies. Check your local rules.
