How to follow up after a rental showing, with templates

Send one short message within a few hours of the showing: thank them, say what the next step is and when you will decide. If you hear nothing, send one reminder two days later and then stop. AI can draft each message, but use the same words and the same timing for every prospect.

Why a follow up matters

Most people look at several places in a week. The one that sends a clear next step is the one they remember. A follow up is not a sales push. It answers the question every prospect has after a visit: what happens now?

It also protects you. A written message that says how to apply, what the criteria are and when you will decide gives everyone the same information, which is the best defense against any claim that you treated people differently.

A simple schedule

WhenWhat to sendGoal
Same day, within a few hoursThank you, the application link and the date you will decideMake the next step obvious.
Two days later, only if no replyA short reminder with the same linkCatch people who meant to apply and forgot.
When the unit is rentedA brief note that it is no longer availableClose the loop politely and stop the thread.

Do not send a fourth message. Persistent follow ups feel like pressure, and some prospects have already chosen somewhere else.

Three short templates

Same day

"Thanks for visiting unit 4C today. Rent is $1,450 a month with a 12 month lease, and the unit is available June 1. You can apply here: [link]. Our screening criteria are in the link. I will decide among complete applications by Friday." (The numbers are made up. Use your own.)

Reminder

"Following up on unit 4C. The application is still open and takes about 15 minutes. Here is the link again: [link]. Reply if you have a question."

Unit rented

"Thanks again for your interest in unit 4C. It has been rented. I will let you know if something similar opens up if you want me to."

Using AI for the drafts

Ask your assistant to write the same-day message from your listing facts and your standard criteria. Keep the prompt narrow: price, date, link, decision date. Do not let it add compliments about the prospect or guesses about whether they would suit the building.

  • Use one template for everyone. If you change the wording for one prospect, you have a record of different treatment.
  • Do not mention family size, jobs, religion, age or where someone is from. See the AI leasing assistant risks.
  • Answer questions in writing, and give the same answer to everyone who asks.
  • Check every number and date against your listing before you send.

Fair housing law bars treating prospects differently because of a protected class (see 42 U.S.C. 3604 and HUD's overview). A single template, sent on the same schedule, is the simplest way to stay on the right side of it. This is general information, not legal advice.

A note about email rules

A one-to-one message to a person who asked about your unit is a different thing from bulk marketing. Still, if you send promotional email to a list, the federal CAN-SPAM Act expects a real sender, an honest subject and a way to opt out (see the FTC guide). For prospects, keep it to the unit they asked about and stop if they tell you to.

How DoorKeeping handles it

DoorKeeping lists the showing requests waiting on each listing, and your assistant can read them. It can draft a message to a prospect, and the send tool shows you the draft first and sends only after you say yes. The application link is a public page for the unit, so one link in your message is all a prospect needs.

Questions

How soon should I follow up after a rental showing?
Within a few hours is ideal, and the same day at the latest. Prospects decide quickly and remember the landlord who made the next step clear.
How many follow ups are too many?
One message after the showing and one reminder two days later is enough. After that, wait for them to reply.
Can I use AI to write follow up messages?
Yes, as drafts. Use one template for everyone, check the facts and do not let it add comments about the person.
What should I tell prospects I will not choose?
A brief, polite note that the unit is rented. Do not give reasons tied to the person. If you deny an applicant after screening, follow the notice rules for adverse action.
