How to write a rent increase letter with AI, and what to check first

AI writes a clear rent increase letter in a minute, but the letter is only valid if the notice period, the timing and any cap match your state and city. Decide the new rent and the effective date first, tell the assistant both, and check the dates against the statute. Oregon, for example, needs at least 90 days of written notice after the first year of a tenancy.

Who decides what

Split the work. You decide the new rent, the effective date and whether a cap applies. The assistant writes the letter and double-checks your arithmetic. If you ask the assistant to decide the increase, it will pick a number that sounds reasonable, and it has no knowledge of your building, your costs or your local rules.

For the pricing decision itself, use your own records: what similar units rent for, what the unit costs you, how long the tenant has stayed. An assistant connected to your records can pull those numbers. A plain chat only sees what you paste.

Rules to check before you send

Rent increase rules differ by state and sometimes by city. Common pieces are the length of the notice, how often you can raise the rent, whether the lease term blocks an increase, and a cap on the size of the increase. Oregon's statute is a good picture of how detailed these can be. For tenancies other than week to week, a landlord may not raise the rent during the first year, may not raise it without written notice at least 90 days before the effective date, may not raise it more than once in any 12 months, and may not raise it above the percentage worked out under ORS 90.324 (ORS 90.323).

Example a made-up Oregon landlord delivers a written notice on January 5, 2027, to a tenant in the second year of a tenancy. Counting 90 days from January 5 (26 days left in January, 28 in February, 31 in March, then 5 in April) gives April 5, so the earliest effective date is April 5 or later, and the notice should say so. A draft that says "effective March 1" fails the 90 day rule, however polished the wording.

Delivery can change the count. Some states add days when a notice is mailed. Check how your state counts before you pick the date. Details on notice rules are in rent increase notice requirements.

A prompt to copy

Example prompt: "Write a rent increase letter from [landlord] to [tenant] for [address]. Current rent: $[amount]. New rent: $[amount]. Effective date: [date]. Say the increase is $[difference], which is [percent] percent. Keep it under 150 words, polite and factual. Do not give a reason unless I list one: [reason or none]. Do not cite any law. After the letter, list every number and date you used so I can check them."

The last sentence of the prompt is the useful one. A list of every number and date gives you a short checklist, and mismatches show up fast. Ask it to compute the percentage too, then do the sum yourself:

Example a made-up rent of $1,200 rising to $1,260 is an increase of $60, which is 5 percent ($60 divided by $1,200). If the letter says "a 6 percent increase", the assistant made an error and the letter must be fixed before it goes out.

Apply one rule to every tenant

Fair housing law covers terms and conditions of a rental, and an increase is a term. A landlord who raises rent more for some tenants than others needs a reason that has nothing to do with a protected class, and a record of it. The Fair Housing Act lists the protected classes, and its interference provision also bars threats and coercion. A simple habit works well: write your rule once ("increase to the market rent for similar units, capped at X percent, with 90 days notice") and ask the assistant to draft every letter from that rule.

How DoorKeeping handles it

From a connected Claude or ChatGPT, DoorKeeping's renewal draft tool drafts a lease renewal for a lease that is ending: it starts the day after the current end, for the term you choose, at the rent you set, and it checks the rent against the state's rent increase rules. The first call shows the draft and saves nothing. After you say yes, it saves a draft on doorkeeping.com. Nothing goes to the tenant from the chat: you read the draft there and tap Send for signatures.

Questions

Can ChatGPT tell me how much I can raise the rent?
It can explain common patterns, but it can be wrong about your state or city. Read the statute or your city's rule yourself, and check for a cap before you choose a number.
Do I have to give a reason for a rent increase?
Many states do not require one for an ordinary increase, and some places do. Check your state and city, and do not let an assistant invent a reason.
How far ahead should the letter go out?
As far ahead as your state's notice period requires, plus a margin for delivery. Oregon, for example, requires at least 90 days of written notice after the first year of a tenancy.
